July 2022 Meeting Minutes
Minutes of the Meeting of Shenandoah Valley Gem and Mineral Society
Meeting date: July 11, 2022
Intro:
The 23 members and guests had a great time at our annual picnic in Waynesboro. Thanks to everyone who brought some delicious food!
Wonderful news! Kelly Lane has graciously offered the social hall at Bridgewater Baptist Church as our new meeting place. We will meet there on Monday Aug 8th at 7 pm. (I'll give directions when I send out a reminder)
New Business
SHOW INFO:
➤ Jack announced that we have received signed contracts from 30 vendors for 165 tables. He arranged with a Boy Scout group to sell snacks/drinks. (We will pay for the items, and they can keep any profit as they are providing a service for our customers).
➤ Marcia & Scott have teamed up to get some 15 sec ads on NBC-29 in Charlottesville and TV-3 in Harrisonburg to will be aired a couple of weeks before the show. Marcia is also working to have radio ads on I Heart Radio with coverage up and down the Valley. TV-3 will also feature ads on their website; they estimate this will produce 25,000 views.
➤ Members picked up fliers and posters to spread the word around the community.
➤ FaceBook advertising works well, as we had 55,000 hits last year. An event ad will be posted in early August to take advantage of the reach of social media advertising.
➤ Larry K usually runs the sluice for us for grade school aged kids, but he has a booth this year. We need volunteers to help the kids sift through the sand on the sluice to find their gems. He is packing bags with 2 pounds of sand, small geodes, fossils & mineral samples for the kids to take home.
➤ Michelle J has volunteered to do her wire-wrapping demo again. Thank you!
➤ Jack has also invited the Lynchburg club to bring their "prize wheel" that they use as a fundraiser for their club. We are advertising for them, and vice versa. Their show is on Saturday, July 23. Let's go out and support our fellow mineral lovers!
Please let me know ASAP of the type of volunteering you would like to do: Email me with the date, hours, and assignment you would like to do. {you can also just let me know when you'd like to help, and I'll put you on the list. Tickets will be sold in the foyer of the big room - need 3 per shift. Kiddie sandbox and sluice will be indoors on Friday and Saturday}
Volunteers needed for:
Thursday, September 15th:
- 8 am until done - setting up tables in the both EXPO rooms
- Assisting vendors with their set-ups
- 9 am till 2 pm - assisting vendors with their set-ups; set up YOUR display case
- 2 pm to 4 pm - ticket selling, general help as "watchdogs" for vendors, giving vendors a break
- 4 pm to 6 pm - ticket selling, general help as "watchdogs" for vendors, giving vendors a break
- Annual DINNER for vendors 6:30 pm. This will be in the smaller EXPO room. Club members are invited to bring entrees, desserts, & drinks. Chicken & paper goods will be provided.
- 10 am to noon - [sign up for a shift by emailing the club secretary]
- Noon to 2 pm - [sign up for a shift by emailing the club secretary]
- 2 pm to 4 pm - [sign up for a shift by emailing the club secretary]
- 4 pm to 6 pm - [sign up for a shift by emailing the club secretary]

Let's show the public how much we enjoy collecting minerals with our smiling faces all around the EXPO areas! The more volunteers, the more fun we can have!

Program Report:
Lots of good food and good conversations were had by all! A few squash went home with members who didn’t lock their car doors ;-) Thanks also to those who brought rocks and minerals to show and trade.
Next meeting:
Our next meeting is August 8th at Bridgewater Baptist Church in Dayton VA.
FYI - If Waynesboro City Schools are closed due to inclement weather on a meeting day, our meeting will be canceled. The club secretary will try to send out an email ASAP that day, and an announcement will be posted on the club’s Facebook page and web site.
Thanks for your understanding; we want everyone to be safe!
Field Trips: We are not planning any field trips any time soon, but if anyone knows of places to collect in small groups, let the club secretary know and they can send out the info.
Looking ahead:
With pandemic concerns diminishing, the lapidary shop will be open the Saturday following a regular meeting. (See Events At A Glance for a calendar view). Leo, Charlie & Jack can assist you. Open from 9 am to noon. This is a small enclosed space; please follow whatever COVID protective guidelines you think appropriate.
There are several slab saws and trim saws. Keep in mind that safety is a priority, and wear closed toe shoes, safety glasses, with no loose hair or long sleeves. Children must be supervised and closely monitored to insure they are safely using the equipment. Check this page to see what you can learn to do!
